01Pre-Arrival Preparation

Activities completed by HR and IT before the employee's first day.

Pre-arrival preparation begins immediately upon contract acceptance. The HR Business Partner coordinates with IT, Facilities, and the hiring manager to ensure all systems, equipment, and access rights are provisioned before the employee arrives. Failure to complete pre-arrival tasks results in a degraded Day 1 experience and must be escalated to the HR Director.

Set Up System Access

Create user accounts in Active Directory, provision role-based access to all required business systems, and configure MFA. Send credentials to the employee's personal email 24 hours before start date.

GDPR Compliance Requirement

All personal data collected during onboarding (passport copies, NI numbers, bank details) must be stored exclusively in the approved HRIS system. Storing personal data in email, shared drives, or local folders is a policy violation and may result in disciplinary action.

Glossary of Terms

Active Directory
Microsoft's directory service used to manage user identities, group memberships, and access permissions across all on-premise and Azure-connected systems.
CISO
Chief Information Security Officer — responsible for approving elevated access requests that exceed standard role-based permissions.
Day 1 Readiness
The state in which all equipment, access, and documentation for a new employee is fully prepared before their start date, enabling immediate productivity.
HRIS
Human Resource Information System — the centralised software platform used to manage employee records, payroll, and benefits. Currently: BambooHR.
MFA
Multi-Factor Authentication — a security requirement mandating that all system logins use at least two verification methods (password + authenticator app).
